For administrators
Who can use Pondros
Members, guests, people in shared channels, and admins: who is let in, and what only an admin can change.
Members of your workspace
Everyone in the Slack workspace Pondros was installed in can use it straight away. There are no seats to assign and no invitations to send. The first time someone tags @Pondros, is given a task, or opens the app in Slack, Pondros sets them up automatically, whatever their email domain.
- If they already have a Pondros account from another workspace, that account is added to yours. They switch between workspaces from the account menu.
- If their Slack profile has no email, they’re still let in. They just can’t sign in to the web app until an email is added.
Slack guests
Slack’s single- and multi-channel guests can use Pondros too. They join as Pondros guests: they see only what’s shared with them, have no admin rights, and are never counted as a paying user. See Plans and billing.
People from other companies
In a Slack Connect channel shared with another company, people from the other side are only let in if their work email is on the same domain as someone already in your Pondros workspace. Guests from another organisation, and personal email addresses, are not admitted.
When someone is refused
If Pondros can’t set someone up, it replies to them saying why, and DMs your admins that they tried. If nobody in the workspace is an admin yet, it tells every member who has used Pondros.
| What they see | Why | What fixes it |
|---|---|---|
| “That email already has a Pondros account, so I can't set you up here automatically” | Their email belongs to another Pondros workspace, and they asked from outside the workspace Pondros is installed in. | An admin adds them in Settings → Members. |
| “An admin has turned off automatic access to Pondros here” | Automatic access is off for this workspace. | An admin adds them in Settings → Members. |
| “I'm not able to help here — an admin has restricted my access for this account” | Access to @Pondros has been limited to certain people. | Ask an admin to allow you. |
| “I couldn't set you up on this workspace's Pondros account” | They're from another organisation, have no usable work email, or Slack didn't return their profile. | An admin adds them with a work email. |
Admins
The person who installs Pondros becomes the workspace’s first admin. Everyone who joins afterwards is a member.
Make someone an admin
In the Pondros app, open Settings → Members and choose Make admin on their row. The same row has Make guest and Remove. You can’t remove the last admin: promote someone else first.
What only an admin can do
- Invite, remove, or change the role of members and guests, and set who can join automatically by email domain.
- Subscribe, change or cancel the plan.
- Connect custom tools for the whole workspace, and let Pondros make changes (Read & write) in an app the workspace connected. See How connecting works.
- Rebuild the company map.
- Delete the workspace.
Note
If a workspace has no admin at all, anyone in it can do these things until someone is made an admin. That way a team is never locked out of its own settings.
